The Most Important Part
ChronoDent is a communication tool, not a diagnostic tool. The AI-generated summaries, risk scores, and projections are designed to help you explain things to patients — not to make clinical decisions. You, the licensed dental professional, are responsible for all diagnosis and treatment decisions. AI output must be reviewed and approved before sharing with patients.
What ChronoDent Is (And Isn't)
ChronoDent IS:
- • A patient communication platform
- • A visual risk mapping tool
- • An AI writing assistant for summaries
- • A secure document sharing portal
- • A practice management helper
ChronoDent IS NOT:
- • A diagnostic tool
- • A replacement for clinical judgment
- • Medical advice for patients
- • A certified EHR/EMR system
- • A substitute for dental training
Your Responsibilities as a Dental Professional
Review all AI output. Every AI-generated summary, risk assessment, and patient-facing content must be reviewed and approved by a licensed dentist before sharing. The AI can get things wrong.
Make your own clinical decisions. ChronoDent's risk scores and projections are simplified estimates based on the data you provide. They're designed to help patients understand trends — not to guide your diagnosis or treatment planning.
Maintain your own records. ChronoDent is not your system of record. You're responsible for maintaining complete patient records according to your state's requirements, whether in ChronoDent, another system, or both.
Secure your account. Use strong passwords, don't share login credentials, and remove team members who leave your practice promptly.
How the AI Works
When you click "Generate AI Draft," ChronoDent sends your clinical notes to an AI language model (currently enterprise-grade LLM APIs). The AI generates a patient-friendly summary based on patterns learned from general medical and dental literature — not from other patients' records.
The AI doesn't know your patient. It doesn't have access to their full history, radiographs, or clinical context beyond what you type into the notes field. It can:
- • Translate clinical terminology into plain language
- • Structure information in a patient-friendly format
- • Suggest explanations for common conditions
It cannot:
- • Diagnose conditions
- • Recommend treatments
- • Guarantee accuracy for your specific patient
Subscriptions and Billing
Billing: We bill monthly or annually via Stripe. Your subscription renews automatically until you cancel.
Cancellation: Cancel anytime from Settings → Billing. You keep access until the end of your paid period. No refunds for partial months.
Price changes: We'll give you 30 days' notice before any price increase. You can cancel if you don't agree.
Failed payments: If your card fails, we'll retry a few times and email you. After 14 days of failed payments, your account may be suspended (but not deleted — you can reactivate by updating your payment method).
Patient Portal Terms
You control what patients see. Patients only see care plans and documents you explicitly approve and share. They can't access your clinical notes or unapproved drafts.
Patient accounts are your responsibility. You create patient portal accounts, set their passwords, and manage their access. If a patient needs to be removed or their password reset, that's on you.
Patients can use scenario sliders. Patients can adjust the "what-if" sliders in their portal to explore how habits affect their risk. These changes don't save — they're educational tools only.
Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW:
- We are not liable for clinical outcomes. ChronoDent is a communication tool. Clinical decisions are yours.
- We are not liable for AI errors. AI-generated content can be inaccurate. You must review before sharing.
- Indirect damages are excluded. We're not liable for lost profits, lost patients, reputation damage, or other indirect/consequential damages.
- Our liability is capped. Our maximum liability is the amount you paid us in the 12 months before the claim.
Your Data
You own your data. Patient records, clinical notes, and uploaded documents belong to you (or your patients). We don't claim ownership.
You can export anytime. Export your data from Settings. We provide CSV and PDF formats.
We can terminate for violations. If you violate these terms (e.g., uploading malware, using fake credentials, harassing support), we can suspend or terminate your account. We'll try to warn you first unless it's egregious.
Post-termination: After cancellation, we keep your data for 30 days in case you reactivate. After that, it's deleted. Export before canceling if you need your data.
Privacy
Your use of ChronoDent is also governed by our Privacy Policy. Short version: we don't sell your data, we don't use patient data to train AI, and we sign BAAs for HIPAA compliance.
Changes to These Terms
We may update these terms. For significant changes, we'll email you and post a notice in the app. Continued use after changes means you accept the new terms.
Governing Law
These terms are governed by Delaware law. Disputes will be resolved in Delaware courts. We both waive jury trial rights.
